RJO is seeking a highly organized, detail-driven professional to serve as our Administrative & Foundation Coordinator. This role is essential to the smooth operation of the RJO office, providing daily administrative support while also coordinating efforts for the RJO Foundation.
As a key point of contact for members and partners, this individual will help create a welcoming and professional experience while also supporting scholarship programs that invest in the next generation of industry leaders. The ideal candidate is proactive, service-focused, and skilled at managing a wide range of responsibilities while working closely with members, vendors, and internal leadership. Through supporting office operations, assisting with strategic initiatives, and participating in RJO’s industry events, this role plays an important part in keeping the organization running effectively and advancing programs that make a meaningful impact on the independent jewelry community.
Key Responsibilities:

Office Administration & Reception
- Serve as the primary point of contact for incoming phone calls and general inquiries.
- Manage incoming and outgoing mail and shipments.
- Maintain office filing systems and organizational records.

Data Entry & Administrative Support
- Perform accurate data entry and maintain internal databases.
- Assist with document preparation, correspondence, and administrative projects as needed.
- Provide general administrative support to the RJO team

RJO Foundation Administration
- Coordinate the scholarship application process for the RJO Foundation.
- Organize and track incoming scholarship applications and supporting materials.
- Prepare and distribute scholarship approval and denial correspondence.
- Work closely with the Foundation Executive Director and Associate Executive Director on Foundation initiatives, documentation, and administrative needs.
- Maintain Foundation records and assist with reporting and communication efforts.

RJO Show Event Team
- Participate as a member of the RJO Show Event Team, including travel to approximately two RJO shows per year.
- Assist with show preparation, on-site administrative support, and coordination during events.

Accounting Support
- Provide backup support for Accounts Receivable functions as needed.
- Assist with basic financial documentation and administrative accounting tasks.
- Comfort working with financial data and systems preferred
Qualifications:

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office and general office technology including Canva.

High attention to detail and ability to manage multiple responsibilities.

Professional, service-oriented demeanor when interacting with members and vendors.

Comfort working with financial information and administrative accounting tasks preferred.

Willingness to travel for RJO events approximately two times per year.

Comfortable contributing across multiple departments as priorities and projects evolve.
